E-mail Campaign

An E-mail campaign is one-time E-mail sent to a pre-defined list of contacts. In other terms, an email campaign is a coordinated group of individual E-mail messages sent over a given time period for a certain purpose. With Tegsoft E-mail Campaign Manager, an individual campaign may be created and delivered instantly, or a campaign can be planned and scheduled to send at a later time.
Please follow the steps below to build an E-mail campaign in Tegsoft.
1. Define E-mail Service Provider
Before starting, make sure you have defined an E-mail provider to be able to run the campaign.
2. Create E-mail Campaign
To create an E-mail campaign with Tegsoft E-mail Campaign Manager, please follow steps below.
2.1. How to Access E-mail Campaign Manager in Tegsoft?
Click on the Management → E-mail Campaign Manager tab to access the E-mail campaign page.
2.2. How to Filter Search Results?
Campaigns that have been edited recently or that have taken action in the near future are displayed on the Campaign Manager screen. If old campaigns are not displayed on this screen, the filtering options are used.
Previously created E-mail campaigns are filtered according to the following filtering options. In order to activate the campaign, the active check box next to the name of the campaign needs to be ticked.
Filter: Filters campaign records by name.
Order Type: There are 4 different sorting options: Name, Start Date, End Date, Last Process Date.
Is Active: Filters campaign records by status. Statuses are All, Recently Used, Active, Inactive
Group: Filters campaign records by groups.
2.3. How to Create a New E-mail Campaign?
Click on the Add (+) button to create a new E-mail campaign. Save the campaign after configuring all settings.
2.4. Which Settings are in the "Campaign Details" Section?
The following screenshot and table include the setting options (parameters) and their descriptions in the Campaign Details section.
Parameter | Description |
Name | Give the specific name to the e-mail campaign. |
Group | Select the specific group which the campaign is going to run. |
Service Provider | Select a predefined service provider to send e-mails to the contacts in the campaign. |
Capacity | Enter the maximum number of contacts to be sent a campaign e-mail at the same time. |
Date | Select the start and end dates of the campaign. |
Time | Select the start and end times of the campaign. The time format is HHSS. |
In case of not achieving | Select the campaign type to which the unreachable contact is going to be directed. |
Destination | Select a specific campaign to which the unreachable contact is going to be directed. |
Regulation check | Before sending an e-mail to a contact in the campaign, select for checking from the İleti Yönetim Sistemi (İYS) whether the sending an e-mail is allowed or not. |
Call delay (minute) | Enter the time period the contact is going to be called after being added to the campaign, in minute. |
Attach surveys | If a survey was conducted in the campaign, tick to attach the survey result to the e-mail. |
Attach recordings | If a call was made in the voice campaign, tick to attach the voice recordings of this call to the e-mail. |
Approved Group | Select a predefined allowed contact group to send e-mail in the campaign. |
Prevented Group | Select a predefined restricted contact group to not send e-mail in the campaign. |
E-mail address field | Enter the e-mail address to which the e-mail is going to be sent. |
Subject | Enter the subject of the campaign e-mail. |
Notes | Type your notes. |
2.5. How to Create E-mail Content?
Tegsoft provides a comprehensive formatting toolbar, that gives the users the ability to customize their e-mail content.
2.6. Groups Assignment
In this section, the groups to be assigned to the relevant E-mail campaign are determined. If the groups need to be selected and assigned to the campaign one by one, the > icon is clicked. If all groups are to be assigned to the campaign at once, the >> icon is clicked.
2.7. Adding Contacts to E-mail Campaign
After creating an e-mail campaign, contacts need to be added to it. If the campaign is selected as active, adding contacts starts the campaign calls.
There are three ways to add contacts to voice campaigns in Tegsoft:
2.7.1. Import from Excel File
To add a contact to a campaign by an Excel File, click the “Import From Excel File” button. Then select the phone number and contact ID uniqueness parameters.
Phone Number Uniqueness:
- Do not check phone number uniqueness (Improves import performance)
- Warn repeated phone numbers
- Do not import repeated phone numbers
Contact ID (contid) Uniqueness:
- Do not import repeated contacts
- Warn repeated contacts
Then click the "Contacts from Excel" button in the pop-up window and select an excel file from your computer that contains the contact information.
The mandatory parameters in the Excel file are shown in the screenshot below. Apart from the parameters in this screenshot, different parameters can be added to the Excel file. If added, they are going to appear in the contact information section and on the agent screen during the campaign call.
2.7.2. Contact from CRM
To add a contact to a campaign from CRM, click the “Contacts from CRM” button. Filter and select the contact, then click Add (+) button.
2.7.3. Contact from Other Campaign
To add a contact to a campaign from other campaign, click the “Contacts from Other Campaign” button. Filter the campaign, select the contact, and then click the Add (+) button.
2.8. Deleting Contacts from E-mail Campaign
There are different options for deleting contacts from the campaign. These are;
- Remove selected contact from the campaign.
- Remove all selected contacts listed in the campaign.
- Deleting contact cards of the selected contacts in the campaign
- Remove all contacts listed in the campaign from the campaign.
- Delete all contact cards listed in the campaign.
2.9. Attaching File to E-mail
To attach the files to the E-mail, click the “Attachment” tab and then click the Add (+) button.
2.10. Uploaded Files
If contacts are added to the campaign with Excel files, these files are located under the “Uploaded Files” tab and can be downloaded.
